Secretary Reporting Policy (draft)

The main role of the secretary is to take minutes at TUA Committee Meetings

Minutes

Minutes should contain a record of all discussions and decisions made at TUA meetings.

  • Minutes need to have a record of the formal approval of all expenditure (this is required for the auditor).

The 'Big Book'

The 'Book Big' contains all minutes, reports or documents that have been tabled at a TUA meetings.

  • Minutes of all committee meetings need to be pasted into the book
  • The minutes should be signed and dated when they are formally approved (ie. at the next meeting)
  • Financial statements and reports need to be pasted into the book
  • AGM minutes need to be pasted into the book (with the previous year's AGM minutes approved and signed at the current AGM)
