Introduction

During the TUA meeting held on the 24/02/11 it was agreed that the TUA would adopt an attendance based payment of AFDA fees for the Leagues that are run by the TUA. This page serves to detail the process of tracking and recording of attendance along with storage mechanisms for attendance figures for accounting purposes.

Background

For insurance purposes the TUA is required to pay the AFDA a per-player fee for each game that a player takes part in within a league. In the past this payment has been calculated by using the following equation:

<Number of Registered Players within a league's division> X <Number of Divisions> X <Number of weeks in the League> X <Per Player Fee>

Recently it has been recognised that a significant saving could be made if fees were only paid for the actual games that each player takes part in within the league. During TUA run leagues there are many occurrences of players being unable to make it to the games for every week of the league. Essentially the TUA were paying insurance fees for players who weren't actually at the game or on the field.

In addition, for the past few leagues, an attendance system has been put in place whereby team captains are required to take attendance for their team each week. These attendance figures are useful for reporting purposes and can be further utilised to facilitate an attendance based insurance payment to the AFDA.

Implementation

As mentioned above, the TUA already requires team captains to take attendance for each week of the league (within their division). As such the data required to facilitate per-attendance insurance fees is already being collected.

The League Organiser will now be responsible for collating that information in order to calculate the final fee at the end of the league. The League Organiser is encouraged to collate the attendance in a spreadsheet and update this spreadsheet on a weekly basis via the attendance sheets filled in and returned by the captains. This will alleviate a large workload task from being apparent at the end of the league.

Importantly, if attendance is not received from a captain for any given week then the assumption will be made that the full team was in attendance.

Reporting and Recording

As the attendance records are being used with a financial implication it is important that appropriate records are kept to ensure accountability. The following recording mechanisms should be undertaken at the end of the league:

  • Attendance sheets from the entire league should be handed to the TUA Executive
  • The Spreadsheet used to calculate the attendance across the league should be handed to the TUA Executive

These records must be kept by the executive, on behalf of the committee, for one year after the league has finished.
